Project Abstract: GreenFest Flow – An All-in-One Event Operations Dashboard GreenFest Flow is a proposed digital event management platform designed to improve operational efficiency and sustainability in small- to large-scale festivals and concert events. Traditional event management often relies on fragmented tools, manual waste monitoring, separate site plans, and estimated crowd information. These challenges can result in inefficient waste collection, excessive energy consumption, overcrowded event zones, and a less satisfactory visitor experience. To address these issues, GreenFest Flow integrates five key technology functions into a single web-based dashboard: digital site layout and zone planning, QR digital visitor mapping, smart waste monitoring, energy consumption monitoring, and crowd density monitoring. These functions allow event organisers and operations teams to visualise event facilities, guide visitors using digital maps, monitor waste station statuses, review energy consumption by zone, and identify potential crowd congestion through alerts. The innovation of GreenFest Flow lies in combining event operations management with environmental monitoring in one integrated platform. Unlike conventional event management systems that primarily focus on registration and ticketing, GreenFest Flow emphasises real-time operational visibility and sustainable event practices. Its digital visitor map can reduce reliance on printed materials, while waste and energy monitoring can support more efficient resource management and crowd monitoring can assist organisers in planning safer visitor movement. The expected impact includes improved operational coordination, more efficient waste collection, reduced unnecessary energy consumption, better crowd management, and an enhanced visitor experience. The platform also has potential for future commercial application in university festivals, concerts, exhibitions, and other large-scale events. Overall, GreenFest Flow aims to demonstrate how integrated digital technologies can support smarter event operations and more sustainable event delivery.
